Job Description / Role:
Our newest opportunity is for a talented Document Controller to join our team in Dubai, UAE.
This position is responsible for managing, tracking, and distributing all project documents, drawings, and correspondence while maintaining document control systems to ensure accuracy, version control, compliance with client and authority requirements, and timely access to updated information for engineers and project managers.
Key Responsibilities:
- Manage and maintain the project document control system in accordance with PMI procedures and client requirements.
- Receive, register, distribute, track, and archive all incoming and outgoing project documentation.
- Ensure proper document numbering, revision control, status updates, and document workflows.
- Maintain document registers for drawings, reports, correspondence, RFIs, technical submittals, and project deliverables.
- Prepare and issue transmittals and ensure timely distribution of project documents to relevant stakeholders.
- Coordinate with project managers, engineers, consultants, contractors, and client representatives regarding document submissions and approvals.
- Monitor document review cycles and follow up on pending approvals and overdue responses.
- Ensure that only the latest approved revisions are available for project use.
- Support project audits and maintain compliance with quality management procedures.
- Assist in the preparation of project close-out documentation and final handover packages.
- Generate periodic document control reports and maintain accurate project records.
Experience Required:
- 7 years work experience partnered with a Diploma or Bachelor degree.
- Minimum 5 years of experience as a Document Controller on infrastructure, transportation, ports, utilities, marine, or civil engineering projects.
- Previous experience working for a consultancy, engineering consultant, or project management consultant (PMC) is preferred.
- Experience on Abu Dhabi government or port-related projects.
- Familiarity with document control processes within PMC/consultancy environments.
Education Qualifications:
- Diploma or Bachelor’s degree in Business Administration, Engineering, Information Management, or a related field.
Skills Required:
- Strong experience with document management systems such as Aconex, SharePoint, EDMS, or similar platforms.
- Proficiency in Microsoft Office applications, particularly Excel and Word.
- Excellent organizational skills with strong attention to detail.
- Strong communication and coordination skills.
- Knowledge of ISO quality management and document control standards.
